Author Permission Guidelines and Rights & Permissions Policy for the Journal of Infusion Nursing (JIN).
Request Permission1.1 Purpose
The Journal of Infusion Nursing (JIN) is committed to maintaining high standards of academic integrity, copyright compliance, patient confidentiality, and responsible scholarly publishing.
Authors are responsible for obtaining appropriate permission for the use of copyrighted material, previously published material, identifiable patient information, photographs, figures, tables, videos, questionnaires, scales, instruments, and other third-party content included in a manuscript.
These guidelines should be read together with the JIN Author Guidelines and the journal's Copyright, Rights & Permissions, and Publication Ethics Policies.
1.2 Material Requiring Permission
Authors must obtain permission when they intend to reproduce or substantially adapt material that is protected by copyright and is not covered by an applicable permission or licensing exception. This may include:
- Previously published figures or illustrations
- Previously published tables
- Photographs obtained from another publication or source
- Clinical images owned by another institution or organization
- Videos or multimedia material
- Copyrighted questionnaires, assessment tools, scales, or instruments
- Maps, diagrams, flowcharts, or other copyrighted artwork
- Material reproduced from books, websites, guidelines, reports, or other publications
- Material published under a license requiring permission or attribution
- Any identifiable third-party intellectual property
- JIN specifically requires permission for previously published images.
- Images submitted to the journal should be high resolution.
- Patient identity must not be visible.
1.3 Patient Photographs and Clinical Images
Applies to Case reports, Photographs, Videos, and Identifiable patient information. Requirements:
- Written informed consent must be obtained before publication.
- Authors must confirm the availability of consent in the manuscript.
- Patient identity must remain confidential.
- Names, hospital numbers, addresses, dates of birth, facial features, or other identifiers should be removed unless disclosure is essential and specifically consented to.
- Consent for treatment or clinical care does not automatically constitute consent for publication.
- Where an image has been previously published, the author must also obtain the relevant copyright permission.
- JIN's Author Guidelines require written informed consent for case reports, photographs, videos, and identifiable patient information.
1.4 Previously Published Figures and Tables
Authors should not assume that citation alone constitutes permission. Requirements:
- The author must identify the original source.
- Appropriate copyright permission must be obtained where required.
- The permission should cover publication in the JIN version of the article and the journal's intended publication format.
- The original source must be appropriately acknowledged in the figure/table legend.
- If material has been modified or adapted, the legend should clearly indicate that it has been adapted from the original source.
1.5 Openly Licensed Material
Authors may use material made available under an appropriate open license, provided that:
- The license permits the intended use.
- The licensing conditions are followed.
- Appropriate attribution is provided.
- Any restrictions on commercial use, modification, or redistribution are respected.
1.7 Submission of Permission Documentation
Required information (Permission documents should be retained by the authors even if they are not requested at initial submission):
- Name of copyright holder
- Original publication/source
- Description of material being reproduced
- Evidence of permission or applicable license
- Any conditions imposed by the copyright holder
- Required attribution statement
1.8 Failure to Obtain Permission
If required permission has not been obtained, JIN may:
- Request that the material be removed or replaced.
- Ask the author to obtain appropriate permission.
- Delay publication.
- Require modification of the material.
- Reject the manuscript where copyright or ethical concerns cannot be resolved.
2. RIGHTS & PERMISSIONS POLICY
Applies to Authors, Editors, and Editorial Board Members.
2.1 Purpose
JIN recognizes the intellectual property rights of authors and third parties and seeks to ensure fair, transparent, and responsible management of copyright and publication rights. Governing guidelines include:
- Ownership of published articles
- Author rights
- Reproduction permissions
- Licensing arrangements
2.2 Copyright and Publication Rights
Proposed JIN policy:
Unless a separate publication agreement specifies otherwise, authors retain copyright in their original work and grant JIN the necessary rights to publish, distribute, archive, index, reproduce, and make the article available in the journal's designated publication format.
The final copyright and licensing arrangement shall be documented through a publication agreement or author declaration before publication.
2.4 Licensing
JIN may publish articles under an appropriate Creative Commons license. Recommended licenses include CC BY and CC BY-NC.
The applicable license depends on the publication model adopted by the journal.
The applicable license should be clearly displayed on the published article and journal website.
2.5 Third-Party Copyright
Requirements:
- Authors must not submit copyrighted material belonging to another person, organization, publisher, or institution without appropriate authorization or a license permitting the proposed use.
- The author is responsible for securing permission for previously published images and other protected material.
- JIN's Author Guidelines specifically require permission for previously published images.
2.6 Rights of Editors
Editorial decisions must not be influenced by personal, institutional, commercial, or financial interests. Editors may:
- Evaluate manuscripts for suitability and quality.
- Request modifications to ensure copyright and ethical compliance.
- Require permission documentation.
- Decline publication of material that creates unresolved copyright, privacy, or ethical concerns.
- Make editorial and publication decisions independently according to journal policy.
2.7 Rights and Responsibilities of Editorial Board Members
The journal's guidelines specifically require Board Members to maintain confidentiality, declare conflicts of interest, support fair peer review, and uphold the journal's ethical standards. Board members are expected to:
- Protect confidential manuscript information.
- Declare conflicts of interest.
- Avoid using unpublished information for personal or professional advantage.
- Maintain the integrity and reputation of JIN.
- Promote fair peer review.
- Respect author intellectual property.
- Avoid unauthorized disclosure, reproduction, or distribution of manuscripts.
2.8 Permissions for Editorial and Promotional Use
Each published article is intended to receive a DOI for permanent identification and citation tracking. Use must comply with applicable copyright and licensing terms. Permitted uses (e.g. Journal indexing, DOI registration, Abstracting services, Journal promotion, Academic and professional communication, Social media and website promotion) apply to:
- Article titles
- Abstracts
- Bibliographic information
- Citation information
- Permitted portions of published content
2.9 Copyright Disputes
Disputes should be reported to the Editor-in-Chief and Editorial Office, providing supporting documentation. Journal actions may include:
- The journal may temporarily suspend publication of disputed material while the matter is investigated.
- The journal may temporarily suspend online availability of disputed material while the matter is investigated.
